In short: We use what you send us to consider you for the role, keep it in HubSpot and ClickUp, and delete it 12 months after your application closes unless you join L5.
This section explains what L5.AI LLC collects when you apply for a job with us through l5.ai, how we use it, who sees it and how long we keep it. The rest of this privacy notice still applies to your use of our website.
What we collect
When you apply, we collect what you enter on the application form:
- your name, email address and phone number
- where you are based
- your LinkedIn profile
- your résumé
- your answer to a short question about a platform you ran and what changed
- the role you applied for and the date you applied
If you go further in the process, we also keep interview notes and feedback from the people who interview you.
Please leave sensitive details out of your résumé, such as health information, religion, a government ID number or a photo. We do not need them to assess your application.
How we use it
- to review your application against the role
- to contact you about your application and arrange interviews
- to make a hiring decision and, if we make you an offer, to prepare it
- to meet our legal obligations
A person at L5 reviews every application. We do not use automated decision-making to accept or reject applicants.
Your HubSpot contact record is set as a non-marketing contact. We do not add you to our marketing lists and we do not send you marketing email because you applied.
Where it is stored and who sees it
The application form is provided by HubSpot, the customer relationship service L5 uses. Your application is kept in two places: as a contact record in HubSpot, with your résumé, and in a private hiring list in ClickUp, the work management service L5 uses to run hiring. The people who can see it are the hiring manager for the role, the people who interview you, the people at L5 who run hiring, and the L5 staff who administer our HubSpot account. L5 has teams in the United States and India, so your application may be viewed from either country.
We use these service providers to run the application process:
- HubSpot runs the application form, checks it is not spam (using Google reCAPTCHA), and stores your application and résumé.
- ClickUp holds a copy of your application and résumé for the hiring team.
- Amazon Web Services runs the process that copies each new application from HubSpot to ClickUp. It does not keep your application.
- Google Analytics records that an application was submitted on our website. It does not receive what you entered.
We do not sell your information or share it with anyone else, unless the law requires us to.
How long we keep it
- If you are not selected, or you withdraw, we delete your application 12 months after it closes.
- If you join L5, your application becomes part of your employee record.
- We may keep an application longer if the law requires it or it is needed for a legal claim.
Deleting an application means deleting it in both HubSpot and ClickUp. Both keep deleted records in a recycle bin for a short time, so an application is fully removed from our systems within 90 days.
Your choices and rights
You can ask us to show you the information we hold about your application, correct it, or delete it. You can also withdraw from the process at any time. Email info@l5.ai with the subject "Job application" and the email address you applied with.
Depending on where you live, you may have further rights under local law. We will respond to your request as that law requires.
